What is the purpose of this article? Below you will find a list of commonly used systems here at HHUNY, a brief description of their purpose, as well as how to access each system!
Netsmart CareManager/Netsmart Okta
Netsmart is the system where all member charts are housed. Netsmart uses Okta to complete the multi-factor authentication (MFA) sign in process for its users. *Please note your credentials to Netsmart are unique to this system and will not get you into any other HHUNY system! You can access Netsmart at https://caremanager.netsmartcloud.com/faces/login/Login.xhtml.
HHUNY Okta
HHUNY utilizes their own Okta tenant (meaning separate from the Netsmart Okta tenant) in an effort to reduce the amount of credentials a user has to remember to access various HHUNY related systems. Therefore, you will use your HHUNY Okta account as your "one stop shop" to access systems such as the HHUNY Help Desk, the HHUNY Portal, Tableau, and ShareFile. HHUNY will continue to move other HHUNY related systems into this Okta account, to continue to reduce the amount of different credentials a user has. We will update the network as we move more systems into your Okta account. You can access your HHUNY Okta account at https://hhuny.okta.com.
Okta Verify
Okta Verify is a free application available for iOS devices (iPhones and iPads) and Android devices (e.g. Samsung Galaxy devices) that is used for generating multi-factor authentication (MFA) codes for Netsmart Okta and HHUNY Okta. Additionally, you can use Okta Verify to use push notification verification for HHUNY Okta.
Please note that Okta Verify is not itself HHUNY Okta or Netsmart Okta - if you "have Okta on your phone," you are likely referring to Okta Verify, which you can check by seeing if the icon on your phone matches the image above.
HHUNY Help Desk
You can submit a ticket to the HHUNY Help Desk at any time to report any issues you may having in a HHUNY supported system, request guidance on an error made, etc. You can access your HHUNY Help Desk account by signing into your HHUNY Okta account at https://hhuny.okta.com and click on the HHUNY Help Desk as the application you would like to access OR by calling 1-855-800-3802 and leaving a detailed voicemail (*Please note, voicemails are secure so you can include any helpful information).
HHUNY Portal
The HHUNY Portal website (hhuny.org) houses a lot of really helpful HHUNY related forms and resources. You can find various HHUNY contacts, policies and procedures, users manuals, training materials, and communications on this portal site. You can access the HHUNY Portal by signing into your HHUNY Okta account at https://hhuny.okta.com and click on the HHUNY Portal as the application you would like to access OR if you click the “Login” field on the HHUNY Portal site, the HHUNY Okta login page will pop-up for you to sign in.
Tableau
Tableau pulls data from Netsmart to give a quick snapshot of how caseloads are going. This is often used as a supervisory tool as it shows all things that are past due as well as things that are due in the near future for members in Netsmart (Care Plan, Case Review, Crisis Plan, Eligibility Screening, Billing Instances, BSU Errors, etc.). You can access Tableau by signing into your HHUNY Okta account at https://hhuny.okta.com and click on the Tableau as the application you would like to access. *Supervisor must request user access
ShareFile
ShareFile is used for various things at HHUNY including to communicate regarding Referrals, the Quarterly User Access Review (QUAR), Plan of Care (POC) Information, and to send MCO Reports such as Active Enrollment Reports. You can access your ShareFile account by signing into your HHUNY Okta account at https://hhuny.okta.com and click on the ShareFile as the application you would like to access. *Supervisor must request user access
Millin
Millin is the billing system utilized by HHUNY. You can access Millin here: https://portal.millinmedical.com/Account/Login?ReturnUrl=%2f. *Please note, only the CMA's billing contact may have access to Millin. Access to this system is managed directly through Millin, not HHUNY.
